Cayuse SP Initial Launch

The Office of Research and Grants is pleased to announce the roll out of Cayuse SP for processing new sponsored projects beginning October 3, 2018. The system will be rolled out in three phases:

Phase I: Cayuse SP Initial Launch. Starting on October 3, 2018, Cayuse SP will be available for online routing of new grant applications and current awards administration. While the SP system will be fully functional, traditional routing will still be allowed until December 15, 2018. The migration of the APU grants legacy database will be completed by December 31, 2018.

Phase II: Cayuse SP Full Launch. Starting January 2019, all new grant applications will be developed and routed through Cayuse SP. Non-financial grant administration will also be fully available. Once fully implemented, Cayuse SP will simplify the entire sponsored project lifecycle management from proposal creation to award close-out.

Phase III: Post-award Financial Module Development. During this phase, an upgraded multi-years grant financial report will be developed and will be accessible through Grant Life Cycle home page. During this phase, Cayuse SP will be connected with the financial data. Completion date to be determined.


Frequently Asked Questions

What does this mean for new proposal development and submissions?

For routing purposes, Cayuse SP is designed to replace the traditional routing with an electronic means of capturing the data, signing off on proposals, and routing of proposals through the Office of Research and Grants and other entities on campus that are required to review and approve. SP will replace the current snail-mail, email, or other traditional methods of proposal submission. SP is a complementary system to the Cayuse 424 application system for federal proposals (Cayuse 424 was launched in 2012 and has been in use for federal grant application submissions at APU for four years). Phase I (Oct 3-Dec 31, 2018) is a period of accommodation and training during which both methods of traditional and SP online routing will be acceptable. Our goal is to complete this rollout in by December 2018, and at that time, we expect the APU grants legacy database to be fully migrated in SP/424.

What does this mean for managing new awards?

Effective October 3, 2018, all new awards received will be processed using Cayuse SP by our office. As a result, principal investigators and department administrators will begin receiving all award documents and communications from ORG with a link to the Cayuse system. These will be limited to non-financial aspects of post-award. Cayuse SP will allow you to view the status of all awards received after October 3, 2018. Awards received in the past 5 years have been entered into the system; however, the progress and financial reports will be migrated by December 31, 2019.
